1. Who this notice is from
This notice explains how Iradati (“the Service”), a property and rent management application, handles personal data. “We” and “us” mean the operator of the Service, an individual freelancer under a valid freelance certificate, whose number and contact details are published at the foot of this page. For anything about your personal data: [email protected].
It is written to meet the Personal Data Protection Law of the Kingdom of Saudi Arabia and its regulations, and the E-Commerce Law and its implementing regulation.
2. Definitions
- Personal data: any information that identifies you, or makes it possible to identify you directly or indirectly, such as your name, mobile number or email address.
- Sensitive data: data about racial or ethnic origin, religious, intellectual or political belief, security and criminal data, biometric, genetic and health data, and data indicating that a person's parentage is unknown.
- Controller: whoever decides why and how data is processed. Processor: whoever processes it on the controller's behalf and on its instructions.
3. Two different kinds of data
Iradati holds personal data about two groups of people, and our role is not the same for each. Read this section before the rest; it decides which of the sections below applies to you.
- Your own account data. The details of whoever registers the account, and of the team members a workspace manager creates accounts for. For this we are the controller.
- The records you enter. Your properties, units, renters, leases and payments. These are yours. You are the controller; we are a processor of them, acting on your instructions in order to run the Service, and for nothing else.
4. What we collect about you, and how
We collect what you enter into the Service yourself and what its use produces automatically. We do not buy data about you from anyone.
- Registration: name, email address, mobile number and password.
- Team members: the name, username and password a workspace manager sets, the role each member holds and the properties assigned to them, and a mobile number if the manager enters one (optional). We do not ask for team members' email addresses; a member may add their own email or mobile number in their account settings.
- Your agency's details (optional): agency name, commercial registration number, VAT number, address and phone, if you enter them so they appear on receipt vouchers and invoices.
- Sign-in: a hashed password — never the password itself — activation and password-reset links, and one-time sign-in codes where we have turned them on at the workspace's request.
- Subscription: your plan, billing dates, payment outcomes, the invoices issued to you, the card's brand, last four digits and expiry date (to show which card is on file and warn you before it expires), and a reference the payment provider issues so it can charge the card you chose to save. We never receive the full card number or its security code, and our payment records keep neither the name on the card nor the IP address it was paid from.
- Support: your name, email address, mobile number (optional), agency name and what you write to us, so it can be answered and followed up.
- Technical: request logs, IP address, browser and device type, and language and theme preferences — used to run the Service and investigate faults and abuse.
We do not use advertising trackers, we do not build profiles of you, and we do not sell personal data to anyone, in any circumstance.
5. What is mandatory, and what happens without it
- Name, email address, mobile number and password are mandatory to create an account. Without the email the account cannot be activated, a password cannot be reset, and invoices and notices cannot be sent; without the mobile number we cannot reach you about your account when we need to. The Service cannot be provided without them.
- Card details are needed for paid plans, and you enter them in the payment provider's form directly.
- Your agency's details are optional; leaving them out means receipt vouchers and invoices are issued without them.
We do not later use your data in a way that conflicts with the purpose it was collected for.
6. Sensitive data
We do not ask you for any sensitive data, and the Service does not need any. Please do not enter it in note fields — for example a renter's health, beliefs or criminal record. If you do, you are responsible for having a lawful basis for it.
7. The records you enter about other people
When you record a renter you are entering another person's personal data. That data stays inside your workspace. We do not read it to market to anyone, we do not combine it with another customer's records, and we do not disclose it except to the processors listed in section 9, or where a competent Saudi authority lawfully requires it.
You are responsible for having a lawful basis to collect and enter it, for telling those people how you use it, and for answering their requests about it. Where a renter contacts us directly, we will refer them to you and tell you that they did.
8. Why we process data, and on what basis
- To provide what you subscribed to — creating your workspace, storing your records, producing statements, reports and vouchers. Basis: performance of our agreement with you (Personal Data Protection Law, article 6, paragraph 2).
- To take payment and keep the subscription correct — charging the card, issuing invoices, retrying a failed charge, and making a workspace read-only or deleting it as the Terms of Service set out. Basis: performance of our agreement.
- To keep the Service secure — sign-in codes, session limits, logs that show who changed what. Basis: our legitimate interest in protecting customer data (article 6, paragraph 4), and our obligation to secure it.
- To meet legal obligations — keeping billing and invoicing records, and responding to a lawful order from a competent authority. Basis: what other laws require (article 6, paragraph 2).
- To tell you about the Service — a price change, an outage, a warning before a deletion, a new version of these documents. Basis: performance of our agreement. These are not marketing and cannot be switched off while you hold an account.
We send you no marketing messages without your prior explicit consent, which you may withdraw at any time.
9. Who else handles the data
Only processors that operate the Service on our behalf, and only for that purpose, each under its own data-processing terms. They are:
- Railway (United States): hosts the application and its database, including the records you enter;
- Cloudflare (United States, with a global network that includes points inside the Kingdom): the site's traffic passes through it to protect it from attack, and it counts page visits without cookies and without identifying you;
- Brevo (France, with its servers in the European Union): sends activation links, sign-in codes, invoices and notices;
- Zoho (data centre in the United States): the mailbox where messages to our addresses and copies of support-form messages arrive.
We will email the founder of every workspace at least thirty days before adding a provider to this list or replacing one.
The licensed payment provider (Moyasar) takes card details directly from your browser, processes charges and keeps the card you choose to save, and handles that data under its own regulatory obligations and privacy policy (section 16).
Beyond these, we disclose personal data only where a competent Saudi authority lawfully requires it. Your own account data — not the records you enter — may also be disclosed where that is necessary to establish or defend a legal claim. We do not sell data and we do not share it for anyone else's marketing.
10. Where the data is processed
The Service's servers and database are with Railway, outside the Kingdom, and Railway's terms say its primary processing takes place in the United States. So your data — including the records you enter — is stored and processed outside the Kingdom, as is what passes through the network and email providers named in section 9. The Service does not currently offer hosting inside the Kingdom; if keeping your data inside it is a requirement for you, the Service as it stands is not the right fit. We are working to meet the rules of the Saudi Data and Artificial Intelligence Authority on transferring personal data outside the Kingdom, and will update this notice as that changes.
11. How long we keep it, and how it is destroyed
- Your records and account data: for as long as your workspace is open. They are deleted permanently in three cases: thirty days after you ask for the workspace's deletion, after ninety consecutive days read-only without payment, or thirty days after we close the account for a breach of the Terms of Service, with the warnings the Terms of Service set out.
- Billing and invoicing records: ten years from the invoice date, the period the Commercial Books Law sets for keeping commercial documents, as our record of what was sold and paid, then deleted, even if the workspace was deleted earlier. Invoices already issued are kept as issued: they show the buyer's name and details, the email address they were sent to, and the brand and last four digits of the card. When the workspace is deleted we delete the saved card at the payment provider.
- Signup details for a paid plan: a copy of the signup details (name, email, mobile, hashed password, IP address and browser type) is kept so the account cannot be created twice, and is deleted seven days after the account is created, at the next nightly clean-up. A signup whose payment was never completed is deleted after twenty-four hours.
- Support messages: messages from people with no workspace are deleted one year after they were sent; a workspace's messages are deleted with it. A copy of each support-form message, and of any email you send to our addresses, also sits in our mailbox with our replies; we delete it from the mailbox on the same schedule.
- Acceptance of the Terms of Service: kept with the name of the person who accepted, the workspace's name and identifier, the date, and the IP address and browser type at the time, for as long as the agreement can be disputed, because it is the evidence of what you agreed to.
- Sign-in codes and sessions: a code is valid for ten minutes at most and expires on use, and its hashed record is deleted after a day, at the next nightly clean-up. Expired sessions are deleted daily.
- Technical logs: we keep no copy of our own; they stay with the hosting provider (Railway) for its log-retention period, then are discarded.
Destruction means permanent deletion from the Service's database; after it we neither read nor restore the data.
12. How it is protected
- Traffic between your browser and the Service is encrypted in transit.
- Every query is scoped to the workspace that owns the record, and roles limit what each team member can see and change.
- At a workspace's request we can require a one-time code sent by email in addition to the password; members without an email address are not asked for one. An idle session expires on its own.
- Passwords are stored only as a one-way hash. Nobody on our side can read yours.
- Card numbers never reach our servers; they go from your browser to the payment provider.
13. If data is breached
No system is beyond risk. If a leak or breach affects your personal data, we notify the Saudi Data and Artificial Intelligence Authority within seventy-two hours of learning of it, notify you and the Ministry of Commerce within three days, and tell you what happened and what you can do to protect yourself.
14. Your rights
The Personal Data Protection Law (articles 4 and 5) gives you the right to:
- be informed of the lawful basis and purpose for collecting your data — this notice;
- access the personal data we hold about you;
- obtain a copy of it in a readable, clear format;
- have it corrected, completed or updated;
- request its destruction once it is no longer needed;
- withdraw a consent you gave, where consent was the basis we relied on.
Write to [email protected]. We respond within thirty days. We may need to confirm your identity first, and we may keep what the law requires us to keep. Much of this you can also do yourself: account details are editable in the Service, and your records can be exported from it at any time.
15. Cookies and visit counting
Iradati sets only the cookies it needs to work: one that keeps you signed in, one that protects forms against cross-site request forgery, and preferences for your language and theme. There are no advertising or analytics cookies. We count visits to the site's pages with a tool that uses no cookies and does not identify you, only to know how many visits there are. So there is no consent banner and nothing to opt out of. Blocking the essential cookies will prevent you from signing in.
16. Other sites and services
The payment form is served by the payment provider (Moyasar), and the card details you enter in it are governed by that provider's own privacy policy. If you move from the Service to any other site, that site's privacy policy is the one that applies to you there.
17. Children
Iradati is a business tool and is not directed at children. We do not knowingly collect personal data from anyone under eighteen as a user of the Service.
18. Complaints
Tell us first at [email protected] — most things are quickest to fix directly. If you are not satisfied with our answer, or believe we have not complied with the Personal Data Protection Law, you may complain to the Saudi Data and Artificial Intelligence Authority (SDAIA), which supervises it.
19. Changes to this notice
We review this notice whenever something changes in the Service or in the law. Each version carries a date and a fingerprint, and earlier versions remain available at this address. Where a change materially affects you, we will tell you by email or inside the Service before it takes effect.
20. Contact
For any question about this notice, or to exercise a right under it, write to [email protected] or use the support form. If the Arabic and English versions of this notice differ, the Arabic version prevails.
